What we collect, and why

If you contact us. Your name, email, phone number and whatever you tell us. We use it to answer you and, if we start working together, to manage the relationship. Nothing more.

If you are a client. Your company details, the people we deal with, the work we do for you, and what you are invoiced. We keep this because we are required to keep proper business records.

If you live in a building that uses CondoPulse. Your building's management is the party that decides what happens to your data. They are the controller and we are the processor: we hold the data on their instructions and we do not use it for our own purposes. That typically includes your unit, your name as the management recorded it, visitor entries logged at the gate, and counts of camera and app activity. We do not sell it, and we do not use it to advertise to you.

If you visit this website. Our host records standard technical logs such as your IP address, which is how the web works. We do not run advertising trackers.

Where your data lives, and who else touches it

We are honest about this because you deserve to know who is in the chain:

These providers process data outside Sri Lanka. If you are in a country whose law restricts that, tell us and we will discuss what we can do.

How long we keep it

Business and accounting records are kept for as long as the law requires, which in Sri Lanka is generally several years. Enquiries that go nowhere are deleted when they are clearly stale. CondoPulse data is kept for as long as your building's management asks us to keep it, and is deleted when they end their contract and ask us to.

Under Sri Lanka's Personal Data Protection Act and India's Digital Personal Data Protection Act, you can ask us:

Write to us and we will answer. If you live in a CondoPulse building, ask your building's management first, because the data is theirs to control, and we will help them respond.

How we protect it

Access to our systems requires an individual account and password. Sensitive records, including anything financial, are restricted to the people who need them, and every change is written to an audit trail with the name of the person who made it. Documents such as bills are stored privately and are only reachable through links that expire. We do not claim to be unbreachable, but we do not pretend either: if something goes wrong that affects you, we will tell you.

Cookies

We use a single cookie to keep our own staff signed in to the internal system. We do not use advertising or tracking cookies on this website.

Changes

If we change this policy we will change the date at the top. If the change is significant, we will say so plainly rather than hoping you do not notice.
